Office Chair Sample Order Checklist Before Bulk Purchase
A sample order is useful only when it helps the buyer make a bulk purchase decision. This checklist is for importers, distributors, office furniture dealers, project procurement teams and OEM/ODM private-label buyers preparing office chair samples before bulk production.

1. Confirm the sample goal
Before asking for a sample, tell the factory what you need to validate. Common B2B sample goals include sitting comfort, mesh tension, recline function, footrest structure, armrest adjustment, headrest support, lumbar support, base option, caster quality, packing and showroom presentation.
- Target model or reference photo.
- Sample purpose: comfort test, showroom display, distributor approval, project tender or OEM/ODM review.
- Expected bulk quantity after approval.
- Buyer country and destination port for the future bulk order.
- Target FOB range, carton requirement and approval deadline.

2. Link the sample to a realistic bulk plan
Sample cost and sample freight are different from bulk FOB pricing. To avoid wasting time, include the expected order quantity if the sample is approved. Examples include 50 pcs for trial distribution, 100-300 pcs for a first wholesale order, or a mixed 20GP/40HQ container for catalog launch.

3. Prepare destination and shipping details
For sample discussion, send the destination country, city and delivery preference if available. For future bulk discussion, also send the destination port or target market. This helps align sample approval with FOB price, carton size, CBM and container loading.

4. Review these details during sample testing
- Seat comfort and back support after real sitting tests.
- Recline, tilt lock, gas lift and footrest operation.
- Armrest, headrest and lumbar adjustment stability.
- Wheel movement, base strength and mechanism noise.
- Material, color, mesh, foam and stitching consistency.
- Carton strength, packing method, labels and instruction sheet.
- Photo/video evidence for any adjustment or quality issue.

5. Prepare commercial documents after sample approval
When the sample is approved, move from sample discussion into a complete bulk-order file. Prepare the Payment Terms and Proforma Invoice Checklist, the Production Lead Time and Delivery Schedule Checklist, and the Export Documents Checklist.
